About the role

This is a key role in a busy team delivering our process serving offering.

Process serving is (mainly) the delivery of legal documents to addressees by hand. The Administration Assistant role is part logistics, part client relationship manager, part report writer, and more besides.

This area of the business is fast-paced, highly responsive and focused on detail.

The successful candidate will learn from one of the most experienced process serving teams in the country, with a loyal and growing client base.

Typical areas of responsibility and tasks will include:

  • Booking in jobs using our case management system.
  • Liaising with clients to understand their instructions and update them on a job’s progress.
  • Liaising with agents to ensure assignments are completed on time, meet the client’s needs, and follow the rules of service.
  • Maintaining accurate records.
  • Preparing formal reports and statements.
  • Preparing invoices.
  • Responding to enquiries.

The role may extend to administration of other services beyond process serving.

About you

You will be:

  • Highly organised and efficient, and able to manage a high caseload.
  • A strong communicator, comfortable working through phone calls and email.
  • Professional, positive and proactive in your approach.
  • Detail-orientated.
  • Confident and able to manage multiple clients and external agents.
  • Proficient in Microsoft Office tools – particularly Outlook, Word and Excel.
  • A good typist, preferably with a typing speed of over 60 words per minute with very few mistakes.
  • Confident learning new software.
  • Flexible, able to adapt quickly to new/changing instructions, and prepared to work outside of standard office hours when required to meet clients’ needs.

You must have:

  • Previous experience in an administrative role.

About the role

This is a great opportunity to make an immediate impact at the top level of a fast-growing company. The successful candidate will play a vital role in supporting internal and external stakeholders, including clients, and in growing the business through sales support activities.

This is a varied role, working in a small, fast-paced office, with exposure to most (if not all) parts of the business. Members of our operations and client services teams are based in the Kent office. The Group Managing Director (GMD) is based in the North West, therefore the main points of contact with him will be by phone, email and online meetings.

Typical areas of responsibility and tasks will include:

  • Managing the GMD’s email inbox – flagging important emails, responding where relevant, and ensuring timely client communications.
  • Managing the GMD’s diary – arranging meetings, organising his time, and ensuring he is in the right place at the right time.
  • Ensuring the GMD is suitably prepared for each meeting.
  • Acting as a gateway to ensure the GMD’s time is used effectively.
  • Organising travel and accommodation.
  • Filing expenses.
  • Taking minutes at team and other meetings.
  • Ensuring the smooth running of the Kent office, in terms of administrative tasks, office supplier management, and compliance such as monitoring adherence to the company’s clear desk policy.
  • Updating records, including in our customer relationship management (CRM) platform.
  • Distributing incoming post and sending outgoing post.
  • Providing cover for administrative tasks usually undertaken by other roles in the team.

About you

You will be:

  • Highly organised and efficient.
  • A strong communicator, comfortable working through phone calls and virtual meetings.
  • Confident and able to ‘manage up’ to ensure the GMD is well organised.
  • Proficient in Microsoft Office tools – particularly Outlook for email, calendar, task and contact management – and other computer software, such as web browsers.
  • Confident learning new software.
  • Professional, positive and proactive in your approach.
  • Detail-orientated.
  • Flexible and able to adapt quickly to new/changing instructions.

You must have:

  • Previous PA experience, ideally at director level.

Graeme McGowan has died aged 69

It is with sadness that we report the death of Graeme John McGowan, one of ESA Risk’s Cyber Security consultants.

Graeme passed away on Wednesday 29th November 2023 at the age of 69, following a period of poor health.

Graeme McGowan - cyber risk and security consultantGraeme will be fondly remembered for his humour, character, and love of football, cricket and Pink Floyd. He had an enviable worldwide network of friends, colleagues and contacts, including a huge group of what Graeme called his ‘alumni’ – people who had worked and trained with him over his many years of public service in government agencies.

Graeme’s mission was to keep people safe online. He worked tirelessly towards this goal during his nearly 40 years in the public sector and in the many private sector roles he held after taking early retirement from a government agency in 2008. Among his many achievements, post the 7/7 London bombings, Graeme was seconded to the Home Office as the first senior government communications officer where he was responsible for developing the code of practice for, and the enactment of, the Regulation of Investigatory Powers Act 2000 (RIPA) Part III.

His work in cyber security was recognised by the Chartered Institute of Information Security when he was made a Fellow in 2021.

Graeme’s motto of ‘training, education and awareness’ lives on in the work of the organisations he was part of.

Graeme is survived by his two daughters and two grandsons. Our thoughts are with his family and friends, at this time.

Mike Wright to drive to Ukraine to deliver Christmas presents to children

As an investigator, I am no stranger to interesting phone calls with insolvency lawyers. However, I can safely say that Chris Keane (of Clarke Willmott) is the first to ask me to drive to a warzone to deliver Christmas presents.

I said yes, of course.

On 26th November 2023, we are due to travel to Chernivtsi in Ukraine to deliver Christmas presents and humanitarian aid to children housed across three orphanages and more than 20 shelters.

Making the return trip of around 3,250 miles from Manchester alongside me and Chris Keane will be Keir Merrick (also of Clarke Willmott), Niall McCulloch (Enterprise Chambers), Mark Jeffries (Camel and Rotary Club of Wakefield Chantry) and Nicholas Ellis (Ellis & Co Accountants).

Working with the Charitable Organization of the Chernivtsi Diocese, we will attempt to improve the quality of the lives of:

  • Over 250 children across three orphanages in and around Chernivtsi.
  • Over 500 displaced children that are currently being housed in temporary shelters across 23 parishes in the Chernivtsi region that may have lost one or both of their parents as a result of the war.

Prof. Mariia Fedoriak and Fr. Liubomyr Ivanochko, the directors of the charity in Chernivtsi, inform us it is critical that any aid arrives prior to 1st December 2023. After this date, new customs regulations come into effect in Ukraine and the charity cannot afford to pay the legal fees required to process the necessary paperwork to ensure the aid can get through prior to Christmas.

In addition to any Christmas presents we may choose to take with us, the following items are desperately needed:

  • School supplies to include stationery, notepads, art and drawing materials etc.
  • School backpacks.
  • Sports equipment to include balls, nets, tables tennis equipment etc.
  • Children’s games (including a special request for large Lego or Duplo blocks for children with learning disabilities).
  • Hygiene products to include nappies, sanitary products, shampoo, deodorant, body wash, shower gel, toothbrushes etc.
  • Winter coats.
  • 20 – 30 tents and associated camping equipment such as sleeping bags, sleeping mats/airbeds, lamps etc. so they can be used for summer camps to take the children away from the orphanages/shelters for a much-needed break.
  • An off-grid solar power system to be installed at the remote summer camp the charity has currently been gifted the use of.

We will be taking a week away from our ordinary routines to make the trip through France, Belgium, Germany, Poland, Slovakia, Hungary and Romania to reach Chernivtsi in the southwest of Ukraine, 25 miles from the border with Romania.

We currently have two vehicles in which to make the trip, but we would like to travel with three. If you are in a position to assist us by loaning a van (standard or Luton) for the trip, please get in touch.

In announcing the trip last week, Chris Keane said:

“As a father of two beautiful little girls, it really saddened me to read of the plight of the thousands of orphans and other children displaced by the war in Ukraine, especially with Christmas just around the corner.

About the role

This is a great opportunity to work across the customer lifecycle and a key role in supporting ESA Risk’s growth. You will be in a position to influence the customer experience from the very beginning – by identifying target clients and tactics we may use to reach them – through to the development of client accounts through cross-selling, upselling and revenue growth.

Your efforts will be focused on optimising our sales pipeline. You will be involved in lead generation, as well as nurturing inbound leads into closable opportunities by booking in and project-managing new and follow-up sales meetings.

The key objectives of the role are to:

  • Contribute to year-on-year increases in revenue.
  • Contribute to growing key client accounts.
  • Contribute to winning new clients.
  • Move contacts from marketing to sales to operations.

Typical areas of responsibility and tasks will include:

  • Client communications – onboarding, event and meeting invites.
  • Pipeline generation – reach out to prospects via email, telephone, networks, events and social media.
  • Planning – thinking ahead about who we want to reach/see, where they are, and when and how it makes sense for us to approach them.
  • Identification of opportunities – research potential targets, opportunities and leads, as well as the competitive landscape.
  • Data management – population, enhancement, cleansing and archiving of contact data, particularly in HubSpot CRM.
  • Quotation management – ensuring we follow through on the process to take advantage of more opportunities and improve internal reporting and development.
  • Compliance – answer supplier onboarding questions when asked by clients/potential clients, and ensure ESA Risk is in the best position to win new accounts/work where there is a compliance requisite.
  • Copywriting – communications to contacts, plus regular article writing and other marketing content creation.
  • Reporting – demonstrate impact on a regular basis.
